Information We Collect

When you create an account and use Rown Studios, we collect the following information:

  • Your name and email address, provided during account setup
  • If you apply to teach: your phone number, your teaching details, the documents you upload (such as proof of insurance and certifications), and the result of an identity check
  • The photos and details you add to your instructor profile, such as a profile picture, a headshot, and gallery photos
  • Scheduling data, including bookings, room reservations, and calendar events
  • Usage information, such as login timestamps and platform interactions, to maintain service quality
  • If you opt in to text message notifications: your mobile phone number, your SMS consent status, and the timestamp of your consent

How We Use Your Information

We use the information we collect to operate and improve the platform:

  • Account authentication and access control
  • Reviewing applications to teach, including confirming your identity
  • Service delivery, including room scheduling and calendar synchronization
  • Communications such as booking confirmations, approval notifications, and service updates

Third-Party Services

Rown Studios integrates with the following third-party services to deliver core platform functionality:

  • Stripe for secure payment processing, and for the identity check when you apply to teach (Stripe Identity). Your payment card details and the photos of your ID and your selfie are handled directly by Stripe and are never stored on our servers. From the identity check we receive the result and your verified name, date of birth, and address.
  • DigitalOcean hosts our servers and database, and stores the files you upload, such as photos and application documents.
  • Resend for transactional email delivery, such as sign-in links, booking notifications, and the studio’s notification emails.
  • Google (Google Workspace and Gmail) for email. Notification emails about activity on the platform, such as new applications to teach, bookings and cancellations, payment problems, and account deletions, go to the studio’s inbox and to the person who runs the platform for the studio. They can include your name, email address, phone number, and booking details, and they stay in those inboxes after an account is deleted. Replies to our emails also arrive in the studio’s inbox.
  • Google Calendar for calendar synchronization, when you choose to connect your calendar.
  • Twilio as our operational SMS delivery provider, used solely to deliver the transactional booking notifications described below to opted-in users. Twilio does not use your mobile number for its own marketing.
  • Backblaze for encrypted off-site backups. Backups are encrypted on our servers before they are uploaded, so Backblaze cannot read them.

We do not sell, rent, or share your personal data with third parties for marketing purposes.

SMS / Text Message Notifications

If you opt in to text message notifications in your account settings, we will send you SMS messages about your own bookings (such as booking requests, confirmations, cancellations, and schedule changes). Message frequency varies with your booking activity. Message and data rates may apply. You can opt out at any time by replying STOP to any message or by turning off text notifications in your account settings; reply HELP for help.

We do not share, sell, or otherwise provide your mobile phone number or messaging consent information to any third parties or affiliates for marketing or promotional purposes. Your phone number and SMS opt-in status are used solely to deliver the booking notifications described above via our SMS service provider.

For a full description of how the opt-in works, including a screenshot of the consent checkbox, see our SMS opt-in process page.

Cookies

We use session cookies strictly for authentication and maintaining your signed-in state. We do not use third-party tracking cookies or advertising pixels.

Data Retention

We keep your account data for as long as your account is active, and delete data once we no longer need it:

  • When we approve an application to teach, we delete the detailed identity-check results and ask Stripe to delete its copy. We keep only the fact that your identity was verified, and when.
  • If we decline an application, we delete it, together with the documents uploaded with it and the identity-check details, and ask Stripe to delete its copy.
  • If you leave an application unfinished for 30 days, we delete the identity-check details; you would need to check your ID again to continue.
  • When you replace or remove a photo, we permanently delete the old one. It can stay visible at its old web address for up to an hour while cached copies expire.
  • When your account is deleted, we delete your name, email address, phone number, photos, application documents, identity-check details, notes about your clients, calendar connection, and booking integrations, and take down your public profile.

Some records are kept after an account is deleted. Bookings and payment records, which we need for tax and accounting, and reviews clients wrote about your classes stay linked to an anonymous “Former instructor” record instead of your name. The studio also keeps its own business notes about working with you, and Stripe keeps its own payment records as the law requires. Entries in our security activity log are kept unchanged until they expire, after about a year. Events we already added to your own Google Calendar stay there; you can delete them yourself.

We keep encrypted backups for up to 35 days, so data you delete may remain in those backups for up to 35 days before it is erased automatically.

Security

We take the security of your data seriously. Measures we employ include:

  • Encryption in transit using TLS between your browser and our servers, and between our servers and the third-party processors listed above
  • Role-based access controls to limit data exposure
  • Regular security reviews and infrastructure hardening

Your Rights

You have the right to access, correct, or request deletion of your personal data at any time. To exercise these rights, email us at privacy@rownstudios.com and we will respond promptly. Instructors can also delete their own account in Settings, under “Delete account and data”.

If you have upcoming bookings, an active membership, or an unpaid balance, we will ask you to settle those before we delete your account.

Changes to This Policy

We may update this privacy policy from time to time to reflect changes in our practices or for legal and regulatory reasons. If we make material changes, we will notify affected users through the platform. Continued use of the service after changes take effect constitutes acceptance of the revised policy.
